Getting Started
How does Aria work?
Aria is an AI receptionist trained on your business. You forward your phone line to Aria, and she answers calls 24/7 — booking appointments, answering FAQs, capturing leads, and escalating emergencies. She sounds natural and learns your business from your website and the details you provide during setup.
How long does setup take?
Most businesses are live within minutes. You sign up, provide your business details (or we pull them from your website), and Aria starts handling calls. No technical knowledge required.
What happens after I sign up?
We train your Aria agent on your business, set up call forwarding, and run test calls to make sure everything works perfectly. You can review call transcripts and adjust responses before going fully live.
Do I need to change my phone number?
No. You keep your existing business phone number. You simply set up call forwarding to route calls to Aria — either all calls or just overflow/after-hours calls.
What information does Aria need from me?
At minimum, your business name, phone number, and website. Aria learns from your website automatically. You can also provide service lists, pricing, hours, and custom responses for specific questions.
Managing Your Agent
How do I update my agent's responses?
Log into your dashboard and update your business details, FAQs, or custom instructions. Changes take effect immediately — no waiting, no support tickets.
Can I see my call transcripts?
Yes. Every call is transcribed and available in your dashboard under the Conversations tab. You can review what Aria said, how she handled questions, and filter by date or topic.
How does Aria handle emergencies?
Aria is trained to detect emergency situations (e.g., burst pipes, dental pain, pet emergencies). She immediately escalates these to your emergency contact via text or call, based on your settings.
Can Aria book appointments?
Yes. Aria integrates with Google Calendar and Calendly to book appointments in real time. She checks availability and confirms the booking with the caller.
What languages does Aria support?
Aria supports 30+ languages, with English and French included on all plans at no extra cost. She auto-detects the caller's language and responds accordingly.
Billing & Account
What plans are available?
We offer 4 plans: Starter (/mo), Pro (/mo), Business (/mo), and Enterprise (custom pricing). All plans include bilingual support, 24/7 coverage, and a dashboard.
Can I upgrade or downgrade?
Yes, anytime. Changes take effect at the start of your next billing cycle. No penalties or fees for switching plans.
How do I cancel?
You can cancel anytime from your dashboard under Account Settings. There are no contracts, no cancellation fees, and no lock-in periods.
Is there a free trial?
Yes. Every plan includes a free trial so you can test Aria with real calls before committing. No credit card required to start.
How does billing work?
We bill monthly via Stripe. You'll receive an invoice by email at the start of each billing cycle. All prices are in CAD.
Troubleshooting
What if Aria doesn't know the answer?
Aria is trained to be honest. If she doesn't know something, she'll let the caller know and offer to take a message or connect them with your team. You can review these in your dashboard and add the answers for next time.
Can I forward calls only after hours?
Yes. Most phone carriers support time-based call forwarding. You can set Aria to handle calls only outside your business hours, on weekends, or when your line is busy.
What if call quality is poor?
Call quality depends on your phone carrier and the caller's connection. If you notice issues, contact us and we'll help diagnose the problem. Aria's voice is high-quality and optimized for phone calls.
How do I contact support?
Email us at support@heyaria.ca. We respond within 24 hours on business days. Pro and Business plan members get priority support.
Can I test my agent before going live?
Absolutely. During setup, you can make test calls to Aria and review transcripts. We also have a demo chat on your dashboard so you can see how Aria responds to different questions.
