After-Hours Answering Service in Canada: A Setup Playbook with Scripts

What counts as urgent, what can wait until morning, and exactly what your callers should hear at 9 p.m., on a long weekend, or on June 24.

·By the Aria Team·5 min read

Most guides about after-hours answering stop at "you should have one." We already wrote that piece: why after-hours calls matter for a small business. This one is the practical follow-up. It walks through how to set up after-hours coverage that actually works for a Canadian business: which calls get escalated, which ones wait, what the caller hears, and what it should cost.

Whatever service you end up using (a human call centre, an on-call rotation, or an AI after-hours answering service like Aria), the setup questions are the same. Answer them first and any provider will do a better job for you.

Step 1: Sort the calls you actually get after hours

Before you compare providers, look at a month of your own call log. Most phone systems and carriers show missed calls with a timestamp. Pull every call that came in outside your opening hours and drop it into one of five buckets:

BucketTypical exampleWhat should happen
Real emergencyWater coming through a ceiling, a tenant locked out at midnightReach a person tonight
New business"Do you do kitchen renovations? Can someone come for a quote?"Capture details, book if possible
Existing customer, change"I need to move Thursday's appointment"Reschedule or take a message
Simple question"Are you open Saturday? Where do I park?"Answer it and end the call
NoiseSales calls, robocalls, wrong numbersFilter out

For most small businesses, the first bucket is the smallest and the last two are the biggest. That matters for cost: you want to pay for human attention only when bucket one happens, not every time someone asks about your hours.

Step 2: Write your "urgent" rule in one sentence

Vague rules lead to one of two outcomes: you get woken up for nothing, or a real emergency waits until Monday. Write a single sentence your answering service can apply without guessing. A few examples:

  • Plumbing or HVAC: "Urgent means active water leaking, no heat when it's below freezing, or a sewer backup. Anyone who smells gas is told to leave the building and call 911 first."
  • Property management: "Urgent means no heat, no water, a flood, a fire, or a resident who can't get into their unit."
  • Dental or health clinic: "Urgent means a post-procedure complication. Anyone describing a medical emergency is told to call 911."
  • Law firm: "Urgent means someone has been arrested or has a court or filing deadline in the next 24 hours."

Everything outside that sentence goes to the morning list. If you're not sure, start strict and loosen it after a few weeks of reading call summaries.

Step 3: Decide what happens in each bucket

There are only five things an after-hours service can do with a call. Assign one to each bucket:

  1. Transfer the call live to an on-call cell phone.
  2. Send an urgent alert by text or email so someone calls back within minutes.
  3. Book the appointment directly into your calendar.
  4. Take a detailed message with the questions you'd ask yourself.
  5. Answer the question and end the call.

With Aria, booking (Google Calendar, Calendly or Acuity), message taking with your own custom questions and spam detection are included on every plan. Live call transfers and live handoff alerts by SMS or email are part of the Pro plan and up, which is the plan most businesses with a real emergency bucket end up choosing. Full details are on the pricing page.

Step 4: Write the scripts

Callers forgive a lot if they know what happens next. Here are scripts you can adapt. If you record calls, say so in the greeting: the Office of the Privacy Commissioner of Canada says organizations must tell customers a call is being recorded, why, and get consent.

After-hours greeting

"Thanks for calling Lavoie Plumbing. Our office is closed right now, but I can help. Is this an emergency, or would you like to book a visit? This call may be recorded so we can follow up accurately."

Urgent call

"I understand there's water coming through the ceiling. I'm connecting you to our on-call technician now. If we get cut off, they'll call you back at this number within 15 minutes. While you wait, if you can safely reach the main water shut-off, turn it off."

New customer

"I can get you on the schedule. What's the address, and what's going on? I have Tuesday at 8 a.m. or Wednesday at 1 p.m. Which works better?"

Holiday greeting

"Thanks for calling. We're closed for the holiday and back on Tuesday. I can take a message, book an appointment for later this week, or reach our on-call team if it's urgent."

Keep each script short. A caller at 10 p.m. wants to know two things: did someone hear me, and when will something happen.

Step 5: Set up forwarding, then test it

You don't need a new phone number. Most Canadian carriers and VoIP systems support conditional call forwarding, so your line rings normally during the day and forwards when you don't answer, when you're busy, or on a schedule after closing. Our call forwarding guide covers the usual options.

Then test it like a customer would. Call from a cell phone at 8 p.m. Call in French. Pretend to have an emergency and confirm the on-call phone actually rings. Ask a question that isn't on your website and see how it's handled. Read the call summaries the next morning. Ten test calls will tell you more than any sales demo.

What's different about after-hours coverage in Canada

A few details catch Canadian businesses off guard, especially if they're using a service built for the US market.

Holidays aren't the same everywhere. The Canada Revenue Agency's own holiday list notes that Saint-Jean-Baptiste Day (June 24) is observed in Quebec only, while the Civic Holiday in August excludes Quebec. If you serve customers in more than one province, your "closed" calendar needs to reflect that, and your greeting should say when you're back.

Your customers aren't all in your time zone. A customer in Vancouver calling a Montréal business at 6 p.m. their time is calling at 9 p.m. yours. Online booking and "call us back" requests often arrive after your close for this reason alone.

French isn't optional in many markets. According to Statistics Canada, 18.0% of Canadians could hold a conversation in both English and French in 2021, and the rate in Quebec was 46.4%. That means more than half of Quebecers can't comfortably switch languages for you. In Quebec, the Charter of the French Language also says a business offering goods or services to consumers must respect their right to be informed and served in French (section 50.2). An after-hours service that only works in English is a real gap. Aria answers in English or French on every plan; more on that on our bilingual answering page.

What after-hours answering costs

There are four realistic options, and they bill very differently:

  • Voicemail. Free, but it does nothing in the moment. Someone still has to listen to every message and call back.
  • An on-call rotation. You or a staff member carries the phone. No vendor cost, but every robocall and "are you open?" call lands on a person. For context, Job Bank lists a median wage of $21.00 an hour for receptionists in Canada, and evenings and weekends are when people least want to work.
  • A human answering service. Usually billed per minute, per call, or in monthly blocks of minutes. Ask about setup fees, holiday or after-hours surcharges, and overage rates, because those are where invoices grow. Quotes vary a lot by volume, so get one in writing based on your call log from Step 1.
  • An AI answering service. Flat monthly plans with a set number of voice minutes. Aria starts at $59/month CAD (150 voice minutes), with Pro at $189/month (600 minutes, adds live transfers and SMS) and Premium at $389/month (1,200 minutes). Annual billing lowers each plan, and you can add a minute pack if a busy month runs over. There's no setup fee and no contract.

The useful comparison isn't price per minute. It's what each option does with bucket two (new business) at 9 p.m. Voicemail loses some of those callers. A human service writes down a message. An AI that can book can put them on your calendar before they call the next company.

Questions to ask any after-hours provider

  • Can it book directly into the calendar I already use, or only take messages?
  • How exactly does an urgent call reach me, and what happens if I don't pick up?
  • Does it answer in French as well as English, without a transfer or a callback?
  • Can I change the greeting and the urgent rule myself, the same day?
  • Are calls recorded? Where are recordings and transcripts stored, and for how long?
  • What does a holiday week cost compared with a normal week?
  • Can I try it on my real number before I commit?

FAQ

Do I need a separate phone number for after-hours answering?

No. You keep your existing number and forward calls to the service on a schedule or when you don't answer. Your customers keep dialing the same number.

Can an AI answering service tell when we're closed?

Yes. Aria uses the business hours and time zone you set, so callers outside those hours hear your after-hours greeting and get the after-hours handling you chose.

What happens if a caller insists on speaking to a person?

That's your call. On Pro and above, Aria can transfer the call to your on-call number or send you a live alert. On any plan, she can take a detailed message so someone calls back first thing.

Is after-hours coverage worth it if I only get a few calls a night?

Usually, yes, if even one of those calls is a new customer or an emergency. Look at your Step 1 buckets: the number of new-business calls is the number that matters.

How long does setup take?

You can be live with Aria the same day. Writing the urgent rule and scripts above is the part that takes the most thought, and it's worth doing whichever provider you choose.
